BetterMerge is a mail merge tool that integrates with Gmail and Google Sheets to help you send personalized emails at scale. This policy explains how we handle your data when you use our Google Sheets add-on or web application.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.

2.1.3. Google Services Integration

BetterMerge integrates with Google Services through OAuth authentication. When you connect your Google account, we request the following permissions:

  • Access to your Google Sheets (only those you specifically use with our app)
  • Access to specific Google Drive files used with our app
  • Permission to send emails on your behalf through Gmail
  • View your Google Account email address and basic profile information
  • View your country, language, and timezone settings

What We Store from Google Services:

  • Email templates you create (but not the actual rendered emails sent)
  • Google Sheets metadata (spreadsheet ID, name, sheet ID, sheet name - but not the actual data)
  • Recipient email addresses when emails are sent (for campaign tracking)
  • Campaign data and email tracking information
  • OAuth tokens (encrypted at rest) for maintaining your connection

What We Do NOT Store:

  • The contents of your Google Sheets data
  • Your sent email content (processing happens in memory only)
  • Your Google Drive files
  • Your Gmail messages or email history

2.1.4. Tracking Technologies and Cookies

We use Cookies and similar tracking technologies to track the activity on Our Service and store certain information. Tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze Our Service. The technologies We use may include:

  • Authentication Cookies. Firebase authentication cookies to maintain your login session and secure access to our Service.

  • Analytics Cookies. We use Firebase Analytics and Umami Analytics (not loaded for EU users) to understand how users interact with our Service and improve user experience.

  • User Experience Cookies. Microsoft Clarity (not loaded for EU users) helps us understand user behavior and improve our interface design.

  • Local Storage. We store user interface preferences and settings in your browser's local storage (no personal data is stored locally).

EU User Privacy: For users accessing our Service from the European Union, we do not load Umami Analytics or Microsoft Clarity to respect enhanced privacy preferences.

Cookies can be "Persistent" or "Session" Cookies. Persistent Cookies remain on Your personal computer or mobile device when You go offline, while Session Cookies are deleted as soon as You close Your web browser.

We use both Session and Persistent Cookies for the purposes set out below:

    Administered by: Firebase Analytics, Umami Analytics

    Purpose: These Cookies help us understand how users interact with our Service, which features are most popular, and how we can improve the user experience. These are not loaded for EU users.

  • Functionality Cookies

    Type: Local Storage

    Administered by: BetterMerge

    Purpose: These store your user interface preferences and settings to provide a personalized experience across sessions. No personal data is stored in local storage.

2.2. Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide mail merge services: To enable you to create and send personalized email campaigns using your Gmail account and Google Sheets data.

  • To manage Your Account: to manage Your registration as a user of the Service and provide access to campaign management, email templates, and tracking features.

  • To process email campaigns: To render email templates with your Google Sheets data and send personalized emails through your Gmail account.

  • To provide email tracking: To track email opens, clicks, and campaign performance to help you measure the effectiveness of your email campaigns.

  • To contact You: To send important service notifications, security updates, and respond to your support requests via email.

  • To improve our Service: To analyze usage patterns, identify bugs, and enhance the functionality and user experience of our mail merge tools.

  • For business transfers: We may use Your information to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by Us about our Service users is among the assets transferred.

  • For analytics and optimization: We may use Your information for data analysis, identifying usage trends, and evaluating the effectiveness of our features to continuously improve our Service.

We may share Your personal information in the following situations:

  • With Service Providers: We share limited information with trusted service providers who help us operate our Service:

    • Paddle (payment processing) - only payment-related information
    • Firebase Analytics - anonymized usage analytics
    • Sentry - error tracking and debugging information
    • Google Cloud Logging - system logs (retained for 30 days)

    We do not share your campaign data, email templates, or Google Sheets data with any third-party service providers.

  • For business transfers: We may share or transfer Your personal information in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of all or a portion of Our business to another company.

  • For legal compliance: We may disclose your information when required by law, court order, or government regulation, or to protect our rights and the safety of our users.

  • With Your consent: We may disclose Your personal information for any other purpose with Your explicit consent.

Important: We never sell, rent, or trade your personal information to third parties for marketing purposes.

2.3 Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies.

Specific Retention Periods:

  • Account Data: Retained until you request account deletion or close your account
  • Campaign Data and Email Templates: Retained until you delete them or request account deletion
  • OAuth Tokens: For Google Sheets add-on users, tokens are valid for 1 hour and refreshed as needed. For web app users, tokens are automatically refreshed and securely stored.
  • System Logs: Retained for 30 days in Google Cloud Logging for debugging and security purposes
  • Analytics Data: Anonymized usage data may be retained indefinitely for service improvement

Data Deletion: You can request deletion of your account and associated data by contacting us at support@bettermerge.com or through our support ticketing system. We will process deletion requests manually and confirm completion within 30 days.

2.4 Transfer of Your Personal Data

Your information, including Personal Data, is processed on servers located in the United States. While our company is based in India, all data processing and storage occurs in secure US-based data centers.

If you are located outside the United States, this means that your information may be transferred to — and maintained on — computers located in a different country where data protection laws may differ from those in your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

We take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy. We implement appropriate safeguards to protect your personal data during international transfers, including:

  • Data Encryption: OAuth tokens are encrypted at rest using our own encryption keys and decrypted only in memory when needed
  • Secure Infrastructure: Our backend is hosted on secure servers located in the United States with enterprise-grade security measures
  • Network Security: Protected by Cloudflare Web Application Firewall (WAF) and DDoS protection
  • Access Controls: Server access is restricted to SSH key authentication only, with proper firewall configurations
  • Monitoring: We use Sentry for error tracking and security monitoring

While We strive to use commercially acceptable means to protect Your Personal Data, remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data with industry-standard security practices.

Data Breach Notification: In the unlikely event of a data breach that affects your personal information, we will notify affected users within 72 hours and take immediate steps to secure the affected systems.

3. Children's Privacy

Our Service does not address anyone under the age of 18. We do not knowingly collect personally identifiable information from anyone under the age of 18. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 18 without verification of parental consent, We take steps to remove that information from Our servers.

BetterMerge is designed for business and professional use. Users must be at least 18 years old to create an account and use our mail merge services.
